If you’re getting married in Italy in 2026, chances are you’re beside yourself with excitement that your year is finally almost here.
But bride-to-bride (or groom) – the months leading up to your wedding is the part where it starts to feel a bit… overwhelming.
As we approach the end of 2025, it’s the perfect time to refine your planning and make sure you’re going into 2026 the best version of your wedding-planning self. Think of this period as the calm before the sparkle; the phase where you lock in decisions so that next year is filled with more excitement than admin.
Here’s your comprehensive checklist of what to tick off before the end of the year or in early 2026, built with Italian wedding timelines in mind.
Give your budget a health check
Before you step into 2026, get your budget into immaculate shape.
Look at:
- What’s been paid
- What’s outstanding
- Any upcoming instalments
- Any services not yet booked
You might even find you have pockets of unallocated budget, perfect for something special like a signature cocktail, upgraded linens, or a welcome event photographer.
Perfect your moodboard
Your styling moodboard should now shift from “inspiration” to “definition”.
Spend some time refining:
- Your colour palette
- Floral preferences
- Texture and linen options
- Décor you love (and décor you absolutely don’t)
- Lighting moods
- Tablescape inspiration
The more precise your moodboard is by early 2026, the more accurately your planner and design team can bring your vision to life.
Clarify expectations with your suppliers
Before the whirlwind of next year begins, get absolute clarity on what you need to provide to your planner and suppliers, what you’ll receive back, and when.
Find out:
- What information they need from you
- When payments are due (and how you’ll pay)
- When final briefs are due
- Whether they require updated moodboards, menus, guest numbers, or logistical details
- What you can expect to receive from them, and when
These briefings will become the blueprint for your wedding day.
Pro tip: Ask your planner for a “2026 Countdown Schedule” so you always know what’s next.
Finalise your guest strategy
Destination weddings rise and fall on good communication. Before 2026 arrives:
- Confirm your final guest list
- Build an email template and schedule for updates
- Decide your welcome bag content (if you’re doing those)
- Confirm travel guidance (airports, transfers, accommodation blocks, etc.)
- Decide what printed literature you’ll have available for guests
Guests who feel prepared means way less stress and last minute questions for you. Plus, they’ll arrive relaxed and ready to party!
Build your “Day-Of Delegation” list
Your wedding day is going to be hectic, and you’re going to want to enjoy the best day of your life, so prepare a list now of tasks you’d like help with. (Full disclosure, this is something I didn’t do because I didn’t want to ask too much of people, and I massively regret it!)
For example:
- Who handles envelopes and final payments to suppliers
- Who manages family group photos
- Who’s in charge of wedding morning vibes and the party playlist
- Who will help you keep your getting ready space tidy for the photos
- Who’s keeping an eye on the schedule
- Who can help answer questions on your behalf
- Do you need someone to carry touch up make up and / or mobile phones
- Who will look after the bouquet when you want photos without it
Give a list to your planner early in 2026 so nothing falls through the cracks.
Begin the “Personal Touches” list
Trust me when I say that these are the details that make your wedding unforgettable – but they take longer than you think.
Start working on:
- Ways you’ll be incorporating your personalities
- Playlists for each event
- Song choices for the ‘big’ moments
- Personal vows, if you’re doing them
- Speeches
- Parent and bridal party gifts
- Ways to honour people who aren’t there, if you decide to
These are the thoughtful details that transform your wedding, and are when things start to feel even more meaningful.
Book any remaining vendors
2026 is already a busy year for Italian weddings, so you haven’t yet confirmed any of the following, now’s the time to really make it a priority:
- Florist
- Lighting and production
- Band or DJ
- Photographer
- Videographer
- Celebrant
- Hair & make up artists
Lock in contracts, pay deposits, and make sure each vendor receives your vision before the new year.
Protect your 2026 calendar
Italy wedding planning peaks between January and May, and many couples feel overwhelmed. One of the best tips I was given was to protect my time in the months leading up to my wedding.
Before the year begins:
- Block out important dates
- Choose your planning weekends
- Set boundaries on wedding admin time
- Schedule rest and reset days (and time together.)
This way you can avoid feeling burnt out, or like you’re running out of time.
